What's New & Exhibiting Tips

  1. What’s New in 2021:
    • The guidelines are being adjusted as we get received updated information. The CURRENT guidelines require seating near any food outlets and we will be adjusting the floorplan to accommodate food locations on the show floor. We will continue to update the Health & Safety section of the website as the Conference approaches.
    • Exhibitors MUST submit proof of compliant insurance by July 7 or they will required to purchase a standalone policy from Rainprotection. (more information)
  2. COVID-19 CHANGES: We are closely monitoring developing guidelines and will apply as needed, but for now we will adhere to industry standard booth regulations.
  3. Deadlines: Pay attention to the deadlines listed on the Exhibitor Manual Page. Whether the deadline is for discounts to save you money on services you need, last chance dates, to other critical information. Review the Exhibitor Manual page to ensure you are taking advantage of every option available. Remember, ordering prior to the deadlines can save you up to 30 percent!
  4. We have added an Onsite Assistance Form for your convenience. If you need assistance from IAFC staff, please complete the form and we will contact you as soon as possible. The Expo Group will also have text assistance option with signage available around the exhibit hall to connect with The Expo Group service desk.

Carpet and Drape

Each 10’ x 10’ booth will be set with 8’ high Red back drape‚ 8’ high Red side dividers and a 7” x 44” one-line identification sign. Pepper (black and gray) aisle carpet is provided by Show Management. Floor covering is NOT required for booths. Exhibitors with a vehicle must have flooring protection under the vehicle at minimum. This could be visqueen, carpet, etc. This can be ordered through the exhibitor manual or supplied by exhibitor. Rental carpet will be from The Expo Group in the exhibitor manual.

Exhibitors and EACs (Exhibitor Appointed Contractors) have access to the exhibit hall based on the following schedule. Note: This is NOT the show hours, the times listed below are the times exhibitors and EACs will have access to the show floor with their badges/wristbands. EACs must have completed the EAC form and provided compliant certificate of insurance before they will be permitted into the Exhibit Hall.

Vehicle Move-In

With the number of large vehicles at FRI2021 we will be following a target move-in schedule. All exhibitors displaying a vehicle or apparatus must submit the Vehicle Display Form by June 14. Please note the dates and times listed in the Exhibitor Schedule below.

Charlotte regulations: any fuel-powered vehicle on static display must:

  1. Each vehicle shall have ¼ or below of fuel; and
  2. The fuel cap must be locked or sealed by tape; and,
  3. The batteries must be disconnected; and,
  4. One key to each vehicle shall remain in the exhibitor’s booth at all times so that the vehicle may be removed in your event of a fire
  • All portable motorized equipment such as generators, fans, multiple light towers, etc. on display will be required to have empty fuel tanks.
  • Vehicle staging is only for vehicles (including trailers) that will be on display in the exhibit hall.

Important Notice to Exhibitors - Beware Unofficial Vendors
Companies approaching Exhibitors or Sponsors not found in the exhibitor manual are not officially affiliated with the Show and IAFC cannot assist with any disputes or issues. In addition, in materials brought into the facility for display purposes, etc. by companies not on this list may be charged for material handling fees in addition to the fees charged by an UNOFFICIAL vendor.
