SATELLITE SYMPOSIA GUIDELINES

Satellite Symposia provide an excellent opportunity for industry partners to share epilepsy-related thought leadership through sponsored education. Programs must be educational in nature (not promotional).

A limited number of slots are available by application only.


Please note:

  • Programs may not duplicate any educational content offered at the AES Annual Meeting. AES will be releasing the 2024 Annual Meeting educational sessions soon.
  • AES has the right to request speaker changes/updates if suggested speakers are already on the AES program.
  • CME/CE from a third-party accreditor is optional, but not required. Note: AES does not accredit or jointly provide accreditation for industry satellite education.
  • All applications for industry-sponsored education are reviewed by the AES Council on Education. 
  • Accepted applications must meet AES education standards for industry-sponsored education. See the criteria in the guidelines below.
  • A final note: If AES is not able to fulfill all applications due to space constraints, the AES Council on Education will select the symposia it judges to have the greatest educational value to attendees.

Acceptable Formats

Acceptable educational formats for industry satellite education may be either a symposium or workshop that includes presentations by speakers, a panel discussion, films, video presentations, or a hands-on activities for attendees. The room's capacity will be dependent on the type of seating you choose for the room you are assigned. 

In previous years, these events have typically drawn over 100 attendees. Each sponsor is responsible for generating their own audience and AES does not make any guarantees for attendance.


Application Process and Guidelines

Application Fee

A non-refundable application fee of $500 must accompany the completed application.

Symposium Fee

  • Symposia of up to three hours: $32,000, in addition to the $500 nonrefundable application fee
  • Hosting the recording of your symposium on AES Digital Select for the 90-day post-meeting on-demand period: $1,000  
  • If your application is accepted, the designated contact will receive a letter of agreement (LOA) that must be signed by an authorized company representative and returned to AES by the deadline provided by AES. 
  • If the signed LOA is not received by this date, AES reserves the right to reassign the date/time slot.
  • Full payment must be received by the deadline.

Process and Deadlines

Proposals must include:

  • Symposium title
  • Overview/description
  • Learning objectives
  • Needs assessment
  • Agenda, including speakers and their affiliations – see note above about duplicate speakers
  • First, second, and third choice for the time of your proposed session

Review Criteria

  • Degree of objectivity, balance, and scientific rigor. The proposal will NOT be accepted if it is deemed to be promotional rather than educational.
  • Extent to which the proposal meets the educational needs of AES attendees
  • Extent to which the proposal DOES NOT duplicate educational content of the AES Annual Meeting
  • Extent to which the proposal complements the overall educational content of the AES Annual Meeting

Generating an Audience

Having a well-attended event is the objective! Having a balanced marketing plan that supports audience generation is critical and there are ways in which the industry partner/sponsoring company can work with AES. Please see below on what AES provides “out of the box.” More specifics are provided in each LOA. 

AES will provide:

  • One (1) mailing list of registrants for the meeting as of the early bird deadline (mailing addresses only). This list is contact of recordsubject to standing AES policy for mailing list use and will be sent to contact of record.List specific information about the satellite symposium in the printed program book, on the AES website, and in the mobile app.
  • Information about the satellite symposium in the printed program book, on the AES website, and in the mobile app.
  • One (1) complimentary black and white full-page advertisement in the printed program book. AES does not allow the complementary black and white ad to be upgraded  to a four-color ad. Additional advertisements in the program book may be purchased to further support the event.
  • Additional opportunities for purchase including hotel sleeping room door drops and on-site digital advertising are available.  Note: The number of insertions for the Saturday shared door drop is limited to 20 and is available on a first-come, first-served basis.
  • Provide signage in a high-traffic area of the meeting, listing industry satellite education events with dates, times, and locations.
