AABB agrees to provide the 2026 AABB Annual Meeting pre- or post-meeting attendee registration mailing list to the party identified below (“List Renter”) solely for the use set forth in this Registration List Request Form Agreement, and subject to the terms and conditions of this Agreement. The List Renter acknowledges that the List and all the information on it are, and shall remain, the exclusive property of AABB.

The List Renter may not use the List for any purpose other than for the attached order, which must be submitted with a digital format sample-mailing piece for AABB’s written approval before the mailing list will be released. The sample mailing piece must be of professional value to the recipient and must not reference AABB in any way without prior written consent from AABB. If consent is granted, a copy of the consent must accompany the order.

AABB provides the List for ONE-TIME USE ONLY. The List Renter warrants that: (i) it will use the List only to accomplish a single mailing of the approved mailing piece; (ii) it will not reuse the List or use it for any purpose not specified on the Order Form; (iii) it will not copy or electronically reproduce the List, or sell, lease, or otherwise distribute it; (iv) it will not make any record of the names, addresses, or other information contained in the List; and, (v) it will not contact any person named on the List (or arrange for any other party to do so) without prior written consent from the AABB.

List Renter agrees that this list order is for a one‐time use only and is to be used only to send material herewith submitted for review on the date of the mailing specified herein. A separate order form must be submitted and approved before each list use. Neither the list nor excerpts thereof are to be duplicated, reproduced, reused, or transferred without AABB’s prior written authorization. List Renter understands that list orders are seeded with decoy names to detect unauthorized use. If unauthorized use is detected, List Renter agrees to pay, within ten business days of notification by AABB, 10 times the value of this list order as partial damages to AABB for breach of this Agreement. Additionally, AABB may pursue any other actions or remedies at law or in equity. Any lawsuit, claim, or other legal proceeding arising out of or relating to this Agreement shall be governed exclusively by the laws of the State of Maryland and brought exclusively in the federal or state courts located in or covering Montgomery County, Maryland. List Renter agrees to submit to the exclusive jurisdiction and venue of the state and federal courts located therein.

• Opportunity for sponsor to invite VIP clients and customers to view a product and/or equipment demonstration event during pre-hours before the exhibit hall opens.
  • Invitations limited to 30 total attendees per demonstration event.
  • Attendees must be registered and have a badge for the annual meeting in order to access the exhibit hall and attend your demonstration event.
• Sponsor may decide how to use the allotted time. Using the first fifteen (15) minutes for light refreshments and networking as attendees arrive and conducting the product and/or equipment demonstration for the last thirty (30) minutes is recommended.
• Sponsor logo and booth number are included on signage located at the exhibit hall entrance promoting pre-hours demonstration events.
• Up to (30) thirty chairs are provided for attendee seating depending on booth location (seating space may be limited depending on booth space and fire code allowances).
• Invited attendees will be permitted only in the area immediately surrounding your booth.
• Sponsor required to create a PDF invitation of your pre-hours demonstration event that includes all demonstration information and booth number.
  • AABB must pre-approve the invitation prior to invitation being sent out.
• Sponsor will be responsible for including their own RSVP link in the event invitation to track RSVPs from attendees to manage the maximum amount of attendees that are allowed at your booth for your demonstration event.
  • Note: Attendees must print invitation or show invitation on their mobile device for access to the exhibit hall during pre-hours. Only first 30 attendees will be allowed to join the demonstration.
  • Tip: If needed, print additional invitations to your pre-hours event to hand out on-site to attendees who visit your booth during daily exhibit hours.
• Option for sponsor to be included on one (1) pre-meeting eblast deployed by AABB within ten days prior to the annual meeting to all registered attendees promoting all pre-hours demonstration events that will link to each sponsor’s PDF event invite or URL of your choosing. Eblast distribution date and time are at the discretion of AABB.
  • Sponsor may elect not to be included on this eblast and manage all invitations and RSVPs internally to manage the event capacity.
  • AABB does not give sponsors access to attendee email addresses and any promotion to registered attendees must be sent out by AABB on sponsor’s behalf.
• Sponsor is responsible for any other costs associated with your demonstration event, such as catering, additional furnishings, and audio visual.

Consequently, sponsors are solely responsible for being present to receive, sign for, and oversee all catering, audiovisual, or furnishing deliveries. Association staff will not be present to grant vendor access. If a sponsor is not present in meeting room to let a vendor into the room, orders will not be delivered and may be canceled. By taking possession of the keys, sponsor assumes full responsibility for the security of the space and the coordination of all third-party services.
