Not-for-profit institutes, charities, projects, and other non-business entities according to the US Internal Revenue Service or equivalent if not US-based. Proof of nonprofit status (i.e., tax-exempt certificate or letter of nonprofit authenticity) will be required prior to space assignment. All Nonprofit and Government Agency exhibit space assignments are made at the discretion of the Senior Exhibits Manager, generally in January.

Payment Schedule

50% Deposit

The 50% deposit for exhibit space must be received at SOT Headquarters by August 5, 2022. Exhibitors who have not paid the 50% deposit by the deadline will be subject to a price increase of $200 per 100 square feet. Exhibit space requests made after August 5, 2022, will receive an invoice which is payable upon receipt. If payment is overdue, the space may be made available for general sale, and the exhibitor will remain responsible for the outstanding balance.

Final Payment

The final payment for exhibit space must be received at SOT Headquarters by October 28, 2022. If the final payment is not received by October 28, 2022, the space may be made available for general sale and the exhibitor will remain responsible for the outstanding balance.

Exhibit Space Cancellations and Reductions

Request for exhibit space cancellations or reductions is required in writing to the Senior Exhibits Manager.

Canceling exhibit space forfeits all exhibiting benefits, including complimentary SOT Annual Meeting registrations and opportunities to apply and present Exhibitor-Hosted Sessions and meeting space. SOT has the right to cancel exhibitor hotel rooms and hotel room blocks held by the canceling organization. The reduction of island space dimensions may result in the relocation of the exhibit space. If any exhibitor cancels and the ToxExpo exhibit hall sells out or commercial exhibit space, the amount paid for the exhibit space will be refunded less an administrative fee of $300.

The following schedule and fees apply for exhibit space cancellations and reductions:

  • On or Before August 5 the company is responsible to pay as liquidated damages an administrative fee equal to 10% of the total exhibit space fee canceled or reduced.
  • Between August 6 and October 28, the company is responsible to pay as liquidated damages an administrative fee equal to 50% of the total exhibit space fee canceled or reduced.
  •  After October 28, the company is responsible to pay as liquidated damages an administrative fee equal to 100% of the total exhibit space fee canceled or reduced.
