A description of your event and the expected number in attendance must be emailed to Tonja Morrow immediately after order is placed. Details received will be reviewed by SOT and are subject to approval.

Policies:

• A limited number of rooms are available and will be assigned on a first-come, first-served basis. Note: Diamond Level Annual Meeting Supporters receive priority.

• Meeting rooms will be assigned upon receipt of full payment.

• Meeting room space is available starting at 6:00 AM.

• SOT reserves the right to alter meeting room space assignments as necessary.

• Activities occurring in rented meeting space will not be posted in the SOT Annual Meeting materials, including hotel or Convention Center listings. 

• All coordination, including food and beverage, audiovisual equipment requests, and hotel room set, should be arranged directly with the appropriate contact at the exhibitor's expense.

• Food and beverage orders received outside of 30 days in advance of your event date will receive published menus pricing. Orders submitted within 30 days of the event will incur additional fees, and menu options could be limited. Be sure to review the catering menu policies for full details.

Upon the Society’s approval of your order, you will receive email confirmation with your room and time slot assignment as well as the hotel and audiovisual contact information. No refunds will be issued for cancellation of approved orders. SOT must be notified of any changes that affect the meeting space rental up until the time of the event. Food and beverages may be ordered for an assigned meeting space if these guidelines are followed: 

• All food and beverages must be ordered from the hotel caterer. SOT prohibits the distribution of food and beverages not purchased through or approved by the hotel caterer.

• All food and beverage orders are between the organization renting meeting space and the hotel caterer, and SOT will not be financially responsible for these food and beverage orders. 

• Organization renting meeting space assumes all liability for the food and beverages ordered for their assigned meeting space.

• Food and beverage orders for rented meeting space may only be served in the assigned room.
